Utility template

Clinic closed for a holiday

Meta category: Utility

Utility templates confirm or update something the person already asked for: an order, a booking, an appointment, or a payment they owe on an existing invoice. A discount, a new product, or a 'while you are here' line moves the template into marketing.

You are telling patients with upcoming visits that the clinic is shut, and what happens to their appointment. That is a service update, not a campaign.

Template body

Hi {{1}}, {{2}} is closed on {{3}} for the holiday. We reopen {{4}}. If your visit was that day, the front desk will move it. No other appointments are cancelled by this note.

When to use it

Send it only to patients whose visit falls on the closed day, plus anyone who asked for hours. A blast to the whole patient list, including people with no visit, is not what this sentence says. {{3}} should name the holiday and the date so it is not reused by accident next month.

If you have already moved their slot, do not send this. Send the reschedule template with the new time. This one is for the closure itself, before the new time is fixed.

Tips for getting it approved

  • The phone number must be the desk that is actually answering.
  • Do not attach a festival offer to a closure notice.
  • Say who is affected. This body limits it to visits that day.

Frequently asked questions

Can I send a closure notice to every past patient?

Only if they expect operational alerts and you change the copy. This wording tells a person their visit may move. Sending it to someone with no visit is confusing and looks like a broadcast.

What about emergency cover?

If another branch is open, put that on the call. Do not cram two addresses into the template. The desk can route them.
