Utility template

Fee due this week

Meta category: Utility

Utility templates confirm or update something the person already asked for: an order, a booking, an appointment, or a payment they owe on an existing invoice. A discount, a new product, or a 'while you are here' line moves the template into marketing.

This is a fee the guardian already agreed for an enrolled term. A due-date reminder without a scholarship pitch is utility.

Template body

Hi {{1}}, the fee for {{2}} this term is {{3}}, due on {{4}}. The receipt will follow once it is cleared. This is the enrolled fee, not a new course.

When to use it

Send it to the guardian who enrolled, early in the week the fee falls due. Name the learner in {{2}} so a parent with two children knows which fee this is. The amount includes whatever your fee note includes. Do not round it.

A sibling discount or an early-pay rebate is a different message. If you put it here, the template becomes marketing and you can no longer send it to guardians who only opted into fee alerts.

Tips for getting it approved

  • Use a guardian name in the sample when that is who you message.
  • No 'seats closing' language on a fee reminder.
  • The fee-note URL should show the same amount as {{3}}.

Frequently asked questions

What if the fee is partly paid?

Do not use this body. It states the term fee, not the balance. A balance reminder should say the amount still open.

Can I include a late fine?

Only on a later template, and only if the fine is already in the fee rules they accepted. Do not introduce it as a surprise in the first reminder.
